Job Description:
The hiring of this position is dependent on the Grant Approval.
MAJOR RESPONSIBILITIES
- Prepare purchase requisitions based on orders issued by the project and coordinate with the other sectors for the completion of the activity plan
- Maintain stock of items (e.g. materials and equipment) that are regularly used at project level with distribution plan and control
- Ensure a thorough knowledge of the WV’s procurement systems and procedures and goods supply chain
- Liaise with support services and use the fleet and fuel management system to monitor project needs
- Arrange all necessary logistical support for meetings as required requested, including meals and/or documents
- Make copies of documents as needed and ensure file/archival keeping of all incoming and outgoing mail and key documents
- Receive water, electricity, fuel and maintenance bills and ensure that invoices are submitted to Finance and processed in a timely manner with necessary supporting documentation attached
KNOWLEDGE/QUALIFICATIONS FOR THE ROLE
- Ability to communicate clearly in both written and oral Portuguese; knowledge of local languages is an advantage
- Strong organizational and planning skills and ability to determine priorities; Personality engaging interpersonal relationship skills;
- Proactivity and ability to work independently; and, computer literacy in Microsoft Word and Excel
- High school level (12th grade) or equivalent completed.
- Minimum of 2 years of administrative work experience.
- Experience working in purchasing/procurement and logistics is an advantage
