The International Committee of the Red Cross (ICRC), based in Geneva, is a humanitarian organization that provides protection and assistance to people affected by armed conflict and other situations of violence. It employs more than 20,000 staff and is present in 80 countries. The ICRC regional sub delegation in Pemba is looking for a suitable candidate to fill the following vacancy: 01.Executive and Information Assistant.
Context
The Executive Assistant provides high-level support to the Management team including, but not limited to, ensuring efficient and timely contact with key institutional interlocutors and donors. S/he keeps contact lists updated, ensures proper information flow and records keeping, along with regular administrative and logistics support to the Management team, including foronline and face to face events organization. S/he acts as the site focal point for Information Management. Assist and ensure that all welcome administrative activities and workshops related are organized smoothly.
Job Description
- Builds and/or maintains an active network of peers, inside and outside the organization, that facilitates and/or helps streamlining access to key interlocutors for the Management team.
- Independently manages appointments and organizes internal and external meetings and events; represents the ICRC to high-level contacts and counterparts in the diplomatic corps upon request. Might act as an interpreter up on request.
- Upon request, represents the management in working groups, task forces or meetings. Drafts minutes of meetings and/or reports.
- Screens, prioritizes, dispatches and follows up on requests, calls and correspondence.
- Independently initiates, drafts, edits and finalizes correspondence, presentations and other documents; prepares briefing files upon request.
- Acts as a reference person for written protocols and correspondence for the signature of the Management team. Ensures, that the ICRC correspondence protocol is adhered to.
- Ensures proper information flow and records management of files s/he is responsible of, in coordination with the Information Management team in the delegation.
- Assists the management by updating timelines, schedule and other tools.
- Updates organizational charts and phone lists, and contact database.
- In charge of sending and receiving pouches.
- Supports the field trip procedure, engagement with field teams in preparations and participates in briefings and debriefings; support management to address any security concern.
Profile – Minimum required and Experience:
- University Degree.
- Excellent command of English and Portugese; Local languages is an asset.
- Excellent Computer skills, including Microsoft Office suite
- Two years’ experience in an administrative position.
