Administrative and Safety Officer

 


Main Responsibilities:

  • Answer telephone calls and direct them effectively.
  • Manage the purchasing process, from requesting quotes to processing and monitoring orders with suppliers;
  • Manage suppliers, including negotiating terms, monitoring contracts and tracking performance;
  • Manage internal requests, ensuring correct processing and communication between departments;
  • Support in the processing of administrative and operational processes;
  • Support in processes related to work visas, including the preparation and submission of documentation;
  • Collaborate in the preparation of reports and communications required by the department;
  • Develop the company’s Management Policies to enhance professional development
  • Ensure safe custody and records of company assets.
  • Implementation of Health and Safety activities.
  • Ensure timely renewal of all statutory licenses and certificates.
  • Repairs and maintenance of all company assets.
  • Work closely with all external partners, service providers and third party suppliers.
  • Ensure the issuance and renewal of Lease Agreements.
  • Payment of annual tax fees to the Municipalities (TDML, THML and TAIL)
  • Create PO related all admin payment  before submitting to Finance for payments
  • Other administrative tasks assigned by management

Requirements:

  • Degree in Administration, Management or related areas (preferred);
  • Minimum experience of 3 to 5 years in administrative or similar roles;
  • Fluency in English and Portuguese, both in written and oral communication;
  • Proficiency in Microsoft Office tools (Excel, Word, PowerPoint);
  • Good organizational skills, attention to detail and priority management;
  • Interpersonal skills and ability to work in a team;
  • Knowledge of HSE processes will be an added value
